When working on a network, it is possible that more than one user may try to open the same client file. Corporate Taxprep will not allow a client file to be opened by more than one user. If a user tries to open a file that someone is already working on, they will receive a message indicating that the file is currently in use.
Locking client files with a password allows you to protect access to tax returns. When a client file is password-protected, it cannot be opened, printed or electronically filed (in the case of electronic transmission, it is possible to allow the transmission without the password being known by the transmitter) without the correct password.
Data in the password-protected client file is not displayed in the Client Manager, but replaced by asterisks (*). Only the basic attributes of the client file (e.g. file name, date modified and location) are displayed.
To enable you to view data from password-protected files, Corporate Taxprep allows you to store passwords within a password list. When individual users have the appropriate password entered in their password list, then they will be able to open the password-protected client files, as well as print or electronically file the returns without being prompted for the password. They will also be able to view data from these files in the Client Manager.
The password list is specific to each workstation. It is entered in the General panel of the Options and Settings dialog box. Therefore, if you are using the Advanced Network version, different password lists can be assigned for different user groups.
By default, Corporate Taxprep will automatically save a backup copy of the active client file at regular intervals whenever there is unsaved data. If the program terminates unexpectedly, you can restore client files when rebooting.
Corporate Taxprep’s default is to automatically save a backup copy every five minutes.
Note: This backup copy does not replace the client file, but rather saves a copy of the client file using a .tmp file extension.
