Local Installation - File Locations

If you are in a multi-user environment but have chosen not to use the Network version (i.e., Corporate Taxprep will be installed on each workstation), you may still want to have certain files saved in a common location on your network (e.g.  Preparer Profiles) or you may want to copy these files onto each local installation. You may also want to specify a network folder as the default location for your client files.

Note: If you are using the Advanced Network version, you should not move files such as print formats or filters and diagnostics. These files have rights associated with them, which would be disrupted if they were moved.

The default locations of various files used in Corporate Taxprep are displayed in the File Locations panel of the options and settings on the Tools menu. Any change that you make to these locations will be saved to the workstation.

The following table lists the file types whose locations can be modified. It also indicates the file extension used for each type which may assist you in locating these files and copying them to a local installation, if desired.

Client files

Client files created using Corporate Taxprep.

Exported files

Data files created during export.
Extensions: .csv and .xls*

 

GIFI files

Data files used to do a GIFI import.
Extension: .gfi, .csv and .txt

 

Xpress filters

Customized Xpress filters.
Extension: .xuf

 

Form groups

Group of forms created by the user from the Form Manager.
Extension: .fmf

 

Print formats

Customized print formats.
Extension: .fmt

 

Letters and labels

Customized templates for client letters and labels.
Extension: .clt

 

Profiles and rate tables

Data saved in the preparer profiles.
Extension: .prt

 

Filters and diagnostics

Customized filters and diagnostics created using the Filters and Diagnostics Wizard.
Extension: .cmf

Using Environments

You can create environments that will allow you to have different sets of options and settings on a single workstation.

This feature is available regardless of whether or not you are using the Network version.

Example: You can have one environment for when the user is connected to the network, in which case the file locations of certain customizable files (e.g., print formats and letters) point to network file folders. You can have another environment for when the user is working off-line, in which case the file locations point to local folders.

Multiple environments can also be useful for situations in which you have more than one network location for specific files.

Creating Environments

To create an environment, consult the "Create an Environment" Help topic.

The current options and settings will be stored in the environment. You can change these options and settings and/or the Client Letter links, if necessary. Any change made will be stored in the active environment.

When more than one environment has been created, you will be prompted to select which one you want to load when you launch the program.
